During the quick scan we screen the organization to discover where and how changes must take place. In a period of 1 to 2 weeks, we will interview staff members and visit various parts of the organization, so as to gain clarity regarding the real issues underlying the perceived problem. Once again, we will focus on business aspects. This quick scan makes it possible to formulate a clear assignment, which can subsequently form the basis for starting a programme.
Pragmatic assessment
The quick scan is most certainly not a theoretical exercise, but rather a pragmatic assessment of the organization – asking questions and giving feedback on what we see. This phase does not so much aim to provide solutions, but instead leads to further identification of problems as we give the analysis more depth.
The object is to form a comprehensive view in terms of:
- Business problems and opportunities.
- Status of existing IT within and outside the organization.
- Insight into developments in the relevant environment.
- Gathering as much information as possible on relevant stakeholders and/or supervisors.
- Insight into quality and availability of project management.
- Insight into quality of the line management responsible for implementation.
- Insight into urgency.
Results
The results of the quick scan for the beneficiary are:
- An understanding of the difference between symptoms and problems.
- A clear picture of the problems and opportunities.
- Insight into the (im)possibilities of IT in contributing to a solution.
- A more detailed view of the approach and structure necessary to achieve the intended goals.
- Possibly initial advice concerning key players for the programme to be started.
- A tailor-made analysis document, which may be used for decisions to be made on starting a programme.
